Let's Search & Filter Your Contacts
Searching your contacts is a great way to find specific information quickly, and filtering allows you to narrow down your contacts based on what you are looking for.
Let’s think about this for a minute. You don’t want to just blindly message every contact anytime you want to send out an email, text message, RVM, or any other communication.
Sure, you could just send a piece of communication to your “buyers,” but not all buyers are the same.
For instance, cash buyers are different than retail buyers, and they are different from tenant buyers. So, maybe you want to send a message to your cash buyers, but not all cash buyers are the same.
They buy in different areas, at different price points, for different property characteristics, rehab levels and more. By using filters and tags, you’ll be able to accurately pinpoint specific contacts, so that you can send a text to cash buyers, for example, who are looking to buy three-bedroom properties in North County for $139,900.
This is what we call a laser targeted message vs. the shotgun approach. This will keep your buyers engaged as they know when they get a message from you, it will scratch their itch.
The same approach works for every contact type in your database, even outside of real estate.

Simple Search
- Click on the Search box located at the top of the page and type in a name, phone number, email or any other piece of information about a certain contact you are looking for.
- After you type in the search box, your contacts page will automatically pull up the contact that you are looking for.
Filtering Your Search
Use the filter feature when you want to search for a particular group of contacts. The filtering options utilizes Tags, Sources, Date Added, and more to assist in distinguishing a particular group of contacts in your list.
The filter feature is located on the right-hand side of the search box.
Any Name
The Any Name filter will search your inputted value in both the first and last name fields. Under Any Name, click on the box and select either Is Exactly, Is Not Exactly, Contains, Not Contains, Begins With, Ends With, Is Empty or Is Not Empty.
- Ex. You are looking for the contact "Mickey Mouse"
- Is Exactly: ex. Mickey Mouse
- Is Not Exactly: ex. Mickey
- Contains: ex. Mouse
- Not Contains: ex. Donald Duck
- Begins With: ex. Mic
- Ends With: ex. se
- Is Empty: This option would find any contact without a value in the first or last name fields.
- Is Not Empty: This option would find all contacts whose first or last name fields are not blank.
Tags and Source
- To filter by tags, click on Tags located in the left-hand menu bar.
- Click on the box under Tags and select either Has Any, Has All, Does Not Include Any, Contains Text or Does Not Contain Text.
- Has Any: If you select multiple tags, sources, etc... a contact will fit in this filter if at least 1 of the selected options applies to them.
- Has All: If you select multiple tags, sources, etc., a contact will fit in this filter only if all of the selected options apply to them.
- Does Not Include Any: If you select multiple tags, sources, etc... a contact will fit in this filter if NONE of selected options applies to them.
- Contains Text: This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc. A contact will fit in this filter if they have a tag/source applied to them that contains the text value you enter.
- Not Contains Text : This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc. A contact will fit in this filter if they have NO tags/sources applied to them that contains the text value you enter.
Date Contact Added
- To filter by Date Contact Added, click on Date Contact Added located in the left-hand menu bar.
- Click on the box under Date Contact Added and select either Range, Before, or On Or After.
- Range: Includes contacts that were added between a custom start date and custom end date.
- This Month: Includes contacts that were added during the current month.
- This Week: Includes contacts that were added during the current week.
- Last Month: Includes contacts that were added during the previous month.
- Today: Includes contacts that were added Today.
- Last 7 Days: Includes contacts that were added during the previous 7 days.
- Last 30 Days: Includes contacts that were added during the previous 30 days.
- Before: Includes contacts that were added before a specified date.
- On or After: Includes contacts that were added on or after a specified date.
Campaign Tracking
- To filter by Date Contact Added, click on Campaign Tracking located in the left-hand menu bar.
- click on Tracking Link Name or Campaign.
- Tracking Link Name - The name of your campaign tracking.
- Campaign - Your target market.
- Source - Where you placed the campaign tracking link on (Google, Facebook, Twitter, etc.).
- Medium - The type of marketing medium you used for this campaign tracking.
- Content - This refers to the content of the marketing medium.
- Term - The keywords that your target audience used to get to your website.
- Choose how you would like a "match" to be determined for the filter.
- Has Any: If you select multiple tags, sources, etc., a contact will fit in this filter if at least 1 of the selected options applies to them.
- Has All: If you select multiple tags, sources, etc., a contact will fit in this filter only if all of the selected options apply to them.
- Does Not Include Any: If you select multiple tags, sources, etc., a contact will fit in this filter if NONE of selected options applies to them.
- Contains Text:This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc. A contact will fit in this filter if they have a tag/source applied to them that contains the text value you enter.
- Not Contains Text: This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc. A contact will fit in this filter if they have NO tags/sources applied to them that contains the text value you enter.
- Select the value you wish to filter this campaign tracking with.
Filter By Properties
- Click on Property Filters located in the left-hand menu bar.
- select a property field you wish to use as a filter including Properties, Has Properties or Properties Roles.
- Properties: This shows the list of properties associated with any contact.
- Has Properties: This selects contacts with or without properties. This selection only has a Yes or No filter.
- Property Roles: This refers to a contact's role for the property (i.e. Seller, Buyer, Listing Agent, Co-Agent, Buying Agent or Other Seller).
- Choose how you would like a "match" to be determined for the filter.
- Has Any: If you select multiple tags, sources, etc., a contact will fit in this filter if at least 1 of the selected options applies to them.
- Has All: If you select multiple tags, sources, etc., a contact will fit in this filter only if all of the selected options apply to them.
- Does Not Include Any: If you select multiple tags, sources, etc., a contact will fit in this filter if NONE of selected options applies to them.
- Contains Text: This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc. A contact will fit in this filter if they have a tag/source applied to them that contains the text value you enter.
- Not Contains Text: This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc. A contact will fit in this filter if they have NO tags/sources applied to them that contains the text value you enter.
- Select the value you wish to filter this campaign tracking with.
Add New
- Click on Add New located in the left-hand menu bar.
- In the drop-down menu under Add New, click on a new filter field to add to your search.
- Those filters are First Name, Last Name, Full Name, Email, Phone, Any Number, Properties, Source, Address, City, Zip Code, Opt-in Status, Tracking Link Name, Campaign, Source, Medium, Content Term, Facebook Lead Form, Has Properties, Property Roles, Anniversary and Role.
- If you have already created custom tags and source, you'll notice that they will appear too and you can select those as well.
Applied Filters
As you add filters, you may want them applied to your contact list. Each of these filters will be displayed under Applied Filters.
- Select how you would like matches to be determined considering the entire applied filter list.
- Toggle Matches to "All" (AND conditions)
- ALL of the conditions of the applied filters must be met for a contact to be considered a match.
- Toggle Matches to "Any" (OR conditions)
- A contact will be considered a match if ANY of the conditions of the applied filters are met.
2. Click on Apply to see the results of your filtered search. Optional - You can save the filter by entering a name in the blank text field and clicking the Save & Apply button.
