How To Search/Filter Contacts in the Contact List

Searching your contacts is a great way to find specific information quickly, and filtering allows you to narrow down your contacts based on what you are looking for. Below, we have broken down the different ways you can search or filter your contacts.

Simple Search

  1. Use the Search box so you can do a simple quick search by typing in a partial name, phone number, email, etc.. and clicking enter to see your results.

Filtering

Use the Filter feature when you are wanting to search for a particular group of contacts. The filtering options utilizes Tags, Sources, Date Added, and more to assist in distinguishing a particular group of contacts in your list.

  1. Filter by Any Name: The Any Name filter will search your inputed value in both the first and last name fields.Screenshot_2018-11-19_18.34.03.png
    1. Choose how you would like a "match" to be determined for the filter.
      1. Ex.  You are looking for the contact "Mickey Mouse"
        1. is Exactly 
          ex. Mickey Mouse
        2. is Not Exactly 
          ex. Mickey
        3. Contains
          ex. Mouse
        4. Not Contains
          ex. Donald Duck
        5. Begins with
          ex. Mic
        6. Ends with
          ex. se
        7. is Empty
          This option would find any contact without a value in the first or last name fields
        8. is Not Empty
          This option would find all contacts whose first or last name fields are not blank

  2. Filter by Tags and Source.

    1. Choose how you would like a "match" to be determined for the filter
      1. Has Any: If you select multiple tags, sources, etc... a contact will fit in this filter if at least 1 of the selected options applies to them
      2. Has All: If you select multiple tags, sources, etc... a contact will fit in this filter only if all of the selected options apply to them
      3. Does Not Include Any: If you select multiple tags, sources, etc... a contact will fit in this filter if NONE of selected options applies to them
      4. Contains Text: This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc... A contact will fit in this filter if they have a tag/source applied to them that contains the text value you enter 
      5. Not Contains Text : This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc... A contact will fit in this filter if they have NO tags/sources applied to them that contains the text value you enter  

  3. Filter by Date Contact Added option.

    1. Choose how you would like a "match" to be determined for the filter
      1. Range: Includes contacts that were added between a custom start date and custom end date
      2. This Month: Includes contacts that were added during the current month
      3. This Week: Includes contacts that were added during the current week
      4. Last Month: Includes contacts that were added during the previous month
      5. Today: Includes contacts that were added Today
      6. Last 7 Days: Includes contacts that were added during the previous 7 days
      7. Last 30 Days: Includes contacts that were added during the previous 40 days
      8. Before: Includes contacts that were added before a specified date
      9. On or After: Includes contacts that were added on or after a specified date

  4. Filter by Campaign Tracking.

    1. Select which campaign tracking field you wish to use as filter:
      • Tracking Link Name - the name of your campaign tracking
      • Campaign - your target market
      • Source - where you placed the campaign tracking link on (Google, Facebook, Twitter, Etc.)
      • Medium - type of marketing medium you used for this campaign tracking.
      • Content - refers to the content of the marketing medium
      • Term - keywords that your target audience used to get to your website.
    2. Choose how you would like a "match" to be determined for the filter
      1. Has Any: If you select multiple tags, sources, etc... a contact will fit in this filter if at least 1 of the selected options applies to them
      2. Has All: If you select multiple tags, sources, etc... a contact will fit in this filter only if all of the selected options apply to them
      3. Does Not Include Any: If you select multiple tags, sources, etc... a contact will fit in this filter if NONE of selected options applies to them
      4. Contains Text:This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc... A contact will fit in this filter if they have a tag/source applied to them that contains the text value you enter 
      5. Not Contains Text: This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc... A contact will fit in this filter if they have NO tags/sources applied to them that contains the text value you enter  
    3. Select the value you wish to filter this campaign tracking with.

    1. Select which Property field you wish to use as filter:
      • Properties - shows the list of properties associated with any contact
      • Has Properties - selects contacts with or without properties. This selection only has Yes or No filter
      • Property Roles - refers to the contact's role for the property (Seller, Buyer, Listing Agent, Co-Agent, Buying Agent or Other Seller)
    2. Choose how you would like a "match" to be determined for the filter
      1. Has Any: If you select multiple tags, sources, etc... a contact will fit in this filter if at least 1 of the selected options applies to them
      2. Has All: If you select multiple tags, sources, etc... a contact will fit in this filter only if all of the selected options apply to them
      3. Does Not Include Any: If you select multiple tags, sources, etc... a contact will fit in this filter if NONE of selected options applies to them
      4. Contains Text: This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc... A contact will fit in this filter if they have a tag/source applied to them that contains the text value you enter 
      5. Not Contains Text: This option will allow you to type in a custom text value vs. selecting from your existing lists of tags, sources, etc... A contact will fit in this filter if they have NO tags/sources applied to them that contains the text value you enter  
    3. Select the value you wish to filter this campaign tracking with.

  6. As you add filters you would like applied to your contact list, each of these filters will be displayed under Applied Filters

  7. Select how you would like matches to be determined considering the entire applied filter list.

    1. Toggle Matches to "All" (AND conditions) 
      1. ALL of the conditions of the applied Filters must be met for a contact to be considered a match
    2. Toggle Matches to "Any" (OR conditions) 
      1. A contact will be considered a match if ANY of the conditions of the applied Filters are met

  8. Click Apply to see the results of your filtered search.  Optional - You can save the Filter by entering a name in the blank text field and clicking the Save & Apply button
