Let's Set Up Extensions
Extensions are options that your prospects/leads can choose from when they call your hotline.
Maybe they want to know more about your Bandit Sign On Wheels program, so they press 1, or they need to know your business hours, so they press 2.
Whatever the information may be, setting up extensions is simple and easy to do.
Objectives
In this support article, you will learn step-by-step how to set up extensions.
Steps
1. Log in to your account. Click on your name located in the upper right-hand corner of your dashboard menu. In the drop-down menu, click on System Settings.
2. You will be directed to a new page. On the left-hand side, click on Extensions located under Profit Dial.
3. You will be directed to your extension management system. In the right-hand corner, click on Add New.
4. A pop-up box will appear. Under Select Phone Number for this extension, click on the box and select your hotline phone number.
Note: You can only create extensions for phone numbers that have been configured as information hotlines. If you have an existing phone number that is currently configured as a business line, you can reconfigure it as an information hotline.
5. Under Select an available Extension Number, click on the box and type in an extension number that you want.
Under Add a Description, click on the box and type in a description of that extension number.
6. Under What happens when someone dials this extension, click on the box and in the drop-down menu you can select either Send to Voicemail, Forward Call or Play Greeting then Forward Call.
Option 1: Send to Voicemail
If you selected Send to Voice, under Voicemail Greeting, either choose a greeting that you have already created and uploaded or type in a greeting for callers to hear before being sent to voicemail.
Option 2: Forward the Call
If you selected Forward Call, under Destination Number, click on the box and type in the phone number that you want callers to be sent to once they dial the extension.
Then, select whether you want your hotline number phone number or the actual caller's phone number to display on your Caller ID when a call is forwarded.
Option 3 Play Greeting, Then Forward the Call
If you selected play greeting, then forward call, either choose a greeting that you have already created and uploaded or type in a greeting for callers to hear before being forwarded to the desired number.
Under Destination Number, click on the box and type in the phone number that you want callers to be sent to once they dial the extension.
Then, select whether you want your hotline number phone number or the actual caller's phone number to display on your Caller ID when a call is forwarded.
7. Under Select Smart Triggers, click on the box and select a workflow that you have already created, so when someone presses this extension, it will trigger this workflow.
Or click on Create new Workflow, which will take you to your workflow builder.
8. When you are finished, click on Done to save the extension.
