The Operations Hub (Ops Hub) is a powerful task management and workflow center designed to give you complete visibility and control over your daily real estate operations. Whether you are managing individual follow-ups or tracking team-wide deliverables across multiple properties, Ops Hub streamlines your workflow so nothing falls through the cracks.
This support article covers how to access Ops Hub, manage tasks system-wide, and leverage deal-specific task views.
Accessing the Operations Hub
Navigating to Ops Hub takes just one click from anywhere in your REI BlackBook account:
- Locate the top navigation bar.
- Click on Tasks.
- Select Ops Hub from the drop-down menu.
Note for existing users: If you are accustomed to the classic task view, you can still access it by selecting Legacy Tasks under the same menu.
Key Features & Navigation
1. High-Level Task Dashboards
At the top of the Operations Hub interface, quick filters allow you to assess your workload instantly:
- All: Displays all active tasks across your account.
- Due Today: Isolates tasks scheduled for completion today.
- Overdue: Highlights missed deadlines in red so you can prioritize critical follow-ups.
- Upcoming: Previews future tasks scheduled down the pipeline.
2. Filtering by Ownership (My Work vs. Team Work)
On the left-hand navigation panel, toggle between different views depending on your role:
- My Work: Displays tasks specifically assigned to your user profile.
- Team Work: Gives managers and team members an overhead view of task ownership across the entire organization, showing assignees, priorities, due dates, and completion statuses.
3. Filtering Tasks by Projects and Deals
Need to focus on a specific transaction? On the left side of Ops Hub, expand the Deals or Projects side menu to view all associated tasks. Selecting an individual property filters the screen to show only the tasks relevant to that deal.
4. Connected Contact & Property Records
Every task in Ops Hub maintains live connections to associated system records:
- Linked Contacts: Click on a contact name to view contact details, send a quick message, or start a call.
- Linked Properties / Deals: Click directly on the hyperlinked property address inside any task to open the full Deal Card immediately.
Managing & Updating Tasks in Real Time
Editing tasks inside Ops Hub is fast and flexible:
| Action | How to Perform |
|---|---|
| Change Due Date | Click on the Due Date field within the task row or detail view and select a new calendar date to reschedule. |
| Update Task Type | Switch task types (e.g., from a general Misc task to a Phone Call or To-Do). |
| Set Priority | Adjust priority levels to High or Low to ensure time-sensitive tasks stay at the top of your list. |
| Add Files & Collaborators | Attach documents, photos, or assign team members directly within the task edit window. |
Once updated, tasks dynamically re-categorize across your views (e.g., updating an overdue task's due date to a future date instantly moves it into the Upcoming queue).
Deal-Level Task View (Condensed View)
When working directly inside a Deal Card (e.g., checking comps or repair lists for a property), click on the Tasks tab inside the property record. This provides a clean, condensed view containing only the tasks associated with that property, keeping you focused on one deal at a time without system-wide distractions.
Best Practices for New and Existing Users
- Start your day in "Due Today" & "Overdue": Clear out urgent seller phone calls and follow-up visits first.
- Use priority flags: Mark high-stakes lead calls as High Priority so your sales team addresses them first.
-
Keep deal cards clean: Resolve or push out overdue dates regularly to ensure your property pipeline stays accurate and actionable.
